This Privacy Policy applies to personal data collected, used, and stored by Tokyo Test Fest, hereinafter “TTF”.

TTF takes your privacy very seriously and we do everything to ensure your privacy on our Platform and during the event. In this document, we would like to explain to you, as quickly and clearly as possible:

  • and what happens to it after we have fulfilled your wishes and orders.

What is personal data?

Personal data means any information relating to an identified or identifiable natural person. This includes, for example, your name, telephone number, address, and email address.

By accepting this privacy policy, you accept TTF’s data processing and rules as detailed in this privacy policy.

What personal data do we collect about you?
We collect personal data about you from a variety of sources for a variety of purposes, such as:

Ticket purchase, registration and in case of invoicing

These are those personal data that you provide to us during the ticket purchasing and registration process. These personal data are as follows: name, title, billing address, email address, phone number, contact details, purchase details (including details of bank card or other payment method), gender. This information will only be used by TTF to create your ticket.

Name is necessary for identifying and naming the purchaser and for a proper addressing. Performance of contract GDPR Article 6. section (1) (b).

E-mail address is necessary for sending the purchased ticket to the purchaser and for keeping contact. Performance of contract GDPR Article 6. section (1) (b).

The data of Country, will be used for analytic and statistical purposes and will be processed only as aggregated data. Performance of contract GDPR Article 6. section (1) (a).

The data of gender will be used for analytic and statistical purposes and will be processed only as aggregated data. Performance of contract GDPR Article 6. section (1) (a).

Billing address is collected in order to document the purchase and payment, and to satisfy accounting requirements. In case of accounting documents, the retention period is 8 years from the closing of the financial year, in accordance with Section 169 of Act C of 2000 on Accounting. Compliance with a legal obligation based upon GDPR Article 6. (1) (c)

To send newsletters:

In case of newsletters we collect only 2 personal data: name and email address. This is optional. We use it to inform you of the newest marketing content. You can sign up to receive our newsletter via the Platform. If you do not wish to receive the newsletter any longer, you can use the unsubscribe link in every newsletter. Data subject’s consent based upon GDPR Article 6 (1) (a).

To carry out customer satisfaction survey:

During this process we collect e-mail addresses and information regarding your preferences about the event. We use it for analytical purposes, for quality improvements of the event and for service developments. Data subject’s consent based upon GDPR Article 6 (1) (a).

To help our participants to find a job and we create an easy way to get in touch with the partners of the event:

To help our participants we collect the following personal data: name, e-mail address, company name and country. This is optional. The purpose of the data management is to help you to find a job offered by companies participating at TTF. You can ask us or third parties to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you. Data subject’s consent based upon GDPR Article 6 (1) (a).

To support administrative and legal purposes:

We collect IP addresses to support anti-fraud screening, and for identifying suspicious transactions.

We also use cookies and other programs on the Website in order to understand the needs of the users of the Website and their behavior in relation to the Website and to improve the Website based on these.

We generate anonymous statistics on visits to the Website.

Article 6 (1) (f) of the GDPR, i.e. such processing activity will be based on TTF’s the legitimate interest.

To take photos and to create highlight films

We take photos, videos, and audio recordings of the participants. We use this data to present, advertise and promote the Event. The recordings and photos will be processed by TTF for an indefinite period. Data subject’s consent based upon GDPR Article 6 (1) (a) and performance of contract GDPR Article 6 (1) (b).

To collect from your use of our Platform

We may use cookies and similar technologies to collect information when you visit our Platform, use our online services, and interact with our online advertisements. This type of information may include your type of browser or device, details of the web pages you have viewed, links you clicked on, your IP address, sites clicked on before coming to our websites, and any other information you choose to share when using the “Like” functionality on Facebook or the +1 functionality on Google.

We may use information from a social sign-on using your Facebook or LinkedIn credentials to create an account or log on. This type of information may include your interests, marital status, photos, and comments.

To collect speaker’s data

Speaker Data that includes data relating to any participation as a speaker at the Conference such as your name, title, address, delivery address, email address, phone number, contact details, purchase details (including your bank card details of bank card or other payment method). We process this data to keep contact with you, organize and promote the Conference, coordinate, and purchase travel services and to keep records of such transactions.

Our lawful ground for this processing is the performance of an agreement between you and us and/or taking steps at your request to enter into such an agreement as well as our contractual obligation to you and third party participants to hold the Conference.

How we collect your personal data:

  • during the ticket purchase,
  • during the check-in process at the event,
  • during the event.

How long do we keep your personal data?

We process your personal data for the time required consistent with the purposes set out in this Privacy Policy or for the period of limitation prescribed in the relevant laws. We keep your personal data for no longer than reasonably necessary.

In case we need to use your details for an unrelated new purpose we will let you know and explain the legal grounds for processing.

We may disclose your personal data in the following cases:

  •  We may disclose your personal data to third parties if needed to provide the services and products available on the Platform, which third parties will process your personal data in conformance with this Privacy Statement.
  • We may have to share your personal data with the parties set out below: – Other companies in our group who provide services to us. – Service providers who provide IT and system administration services. – Professional advisers including lawyers, bankers, auditors, and insurers. – Government bodies that require us to report processing activities.

The collection use and disclosure of personal data collected through the Platform is safeguarded by technological and organizational security measures with the objective to protect the personal data against loss, misuse and unauthorized access, alteration, disclosure or destruction. These measures are continually improved in line with technological developments.

In particular: (i) we encrypt many of our services using SSL (ii) we review our information collection, storage and processing practices, from time to time to guard our systems against unauthorized access, and (iii) we restrict access to personal information to our employees and all other parties we work with, who are subject to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet these obligations

We will not retain your personal data for a period longer than necessary to fulfill the purposes for which it was collected for, unless we have to keep it for legitimate business, tax or legal purposes.
